William Jewell College eTrieve Access and Navigation

Learn how to access eTrieve to request changes to your college or course enrollments, including how to add or drop classes, how to defer your enrollment to a future semester, or how to withdraw from the college. You will also request your official transcripts through eTrieve.

Accessing eTrieve

eTrieve is where you will request to make changes to your college or course enrollments and request your official transcripts.

Note: the date that you submit a request to change your course enrollments or withdraw from the course is the date upon which your request will be considered as it relates to policies. As a reminder, you can review all policies related to your William Jewell enrollment within the course catalog and supplemental handbook which can both be found in your eTrieve account.

Request to Drop/Add Courses 

If you are already enrolled in these courses with the William Jewell Registrar, you will need to complete their Add/Drop form. Here is how you can request your course enrollment be updated in eTrieve:

Step 1: On the left side, find “Forms” Section -> REG - Add/Drop - Permission to Enroll

 

 

Step 2: Complete the "Add/Drop" form

  • Many of the fields in the "Student Information" part of this form will auto-populate with your information. Please fill out the remaining fields

 

  • Once the "Student Information" section is complete, scroll down to the "Add Course" and/or "Drop Course" section of the form.

  • Select the courses you'd like to Add and/or Drop in the the appropriate section

    • If you have any questions about the courses you are planning to Add or Drop, feel free to reply to this email and we can support you!

  • Add any relevant comments you have to the "Student Comments" section

Step 3: Once you have submitted this form, the William Jewell Office of the Registrar will process your request.


Request to Defer Enrollment to Future Semester

If you are already enrolled in the courses and you'd like to defer your enrollment to a future semester, you will need to officially request to withdraw from William Jewell. Here is how you can request your withdrawal within eTrieve:

Step 1: On the left side, find “Forms” Section -> MSEd Withdrawal

Step 2: Complete the "MSEd Withdrawal" form but indicate that you will be joining William Jewell at another time.

  • input your current semester you are enrolled in (Year/Semester) within the "Current Cohort" field

  • select “Yes” when asked if planning to join us at another time

  • input the semester that you intend to begin classes again in the “If so, when…” field

Step 3: Once you have submitted this form, the William Jewell Office of the Registrar will process your request.


Request to Withdraw

If you are already enrolled in the courses and you'd like to completely withdraw from the program, you will need to officially request to withdraw from William Jewell. Here is how you can request your withdrawal within eTrieve:

Step 1: On the left side, find “Forms” Section -> MSEd Withdrawal

Step 2: Complete the "MSEd Withdrawal" form

  • input your current semester you are enrolled in (Year/Semester) within the "Current Cohort" field

  • select “No” when asked if planning to join us at another time

  • input the Reason for your Withdrawal

Step 3:  Once you have submitted this form, the William Jewell Office of the Registrar will process your request.


Request Incomplete

Students who have completed 50% or more of their course content but were not able to finish their assignments due to extenuating circumstances may request an incomplete grade.

If you request an incomplete grade for one or more courses, you will need to coordinate with one of your instructors/admins to submit an incomplete form.

Step 1: Ensure that your instructor/admin understands the extenuating circumstances that have kept you from your coursework. They will use this information to begin your paperwork.

Step 2: Your instructor/admin will notify you when their part of the incomplete form is submitted. William Jewell will also send you an automated notification when the forms are ready for you.

Step 3: Sign in to eTrieve with your William Jewell credentials.

Step 4: Click "Inbox" in the left side menu to view the form(s) in your queue.

Step 5: Click on a form to open it.

Step 6: Click "Submit" to demonstrate your agreement and ensure that the form is sent to the registrar.

(Repeat steps 4-6 as applicable if you have multiple incomplete requests.)

*Note: If your extenuating circumstances continue to inhibit your ability to meet your new deadline, and you request an incomplete agreement extension, the extension form goes from your instructor/admin to the Vice President of Academic Affairs for approval and then directly to the Registrar's Office. In this case, you will not have to complete steps 3-6.

Request your official transcripts from William Jewell through the Forms --> Registrar section within eTrieve.
